The problem

Agencies and freelancers often juggle a separate email tool, CRM, project tracker, invoicing app and content workflow for every client. Data gets copied between systems, subscriptions add up, and nobody has a single view of a client.

I wanted one subscription that could replace that stack, while still feeling like each agency’s own branded platform.

My role

Ops Pilot CRM is a product I design, build and run through my agency, Extra Web Solutions. It gives agencies and freelancers one place to run their business and their clients’ marketing: email campaigns and automations, contacts and audiences, projects and tasks, invoicing, and branded client portals.

Its built-in AI assistant, Blogsmith, learns a client’s tone from their live WordPress site, then writes and schedules SEO posts with internal links — saving them as drafts or publishing them straight to WordPress.

Approach

I built Ops Pilot as a React web application where every workspace gets its own branded subdomain, team members and plan-based permissions.

A drag-and-drop MJML email builder, landing pages and forms feed campaigns and AI-assisted outreach sequences. Clients, projects and invoices sit alongside them, Stripe handles subscriptions and lifetime plans, and Blogsmith connects to WordPress to generate and publish SEO content.
