The problem

Software agencies juggle many clients and projects at once, and the work usually lives in a mix of spreadsheets, chat threads and generic to-do apps. That makes it hard to see what is due, who owns it, what has been quoted and agreed, and how the team is performing.

The brief was a product, not just an internal tool: a secure multi-tenant SaaS where each agency gets its own workspace, controls who can see and change what, and pays per seat. It had to be quick to start using, simple enough for a two-person studio, and strong enough to grow with a larger team, while respecting privacy rules such as GDPR.

My role

I designed and built PowerFlow as a full multi-tenant SaaS product: a React front end on top of a Node.js API, with workspaces, role-based access, team invites, table and Kanban task views, threaded comments, file uploads, an analytics dashboard and Stripe subscription billing.

Approach

PowerFlow is a React single-page app with Chakra UI and TanStack Query, talking to a Node.js REST API. Each agency signs up, goes through a short onboarding flow and gets its own workspace, then invites teammates by email as admins, editors or viewers, with permissions enforced on every action.

Clients, projects and tasks are linked together. Tasks support subtasks, priorities, statuses, due dates, assignees, quoted and agreed values, rich-text descriptions, file uploads and threaded comments. Teams can work in a filterable table or a Kanban board, and global search and notifications keep everyone up to date.

The Pro plan adds an analytics dashboard covering completion rate, pipeline value, overdue work and status breakdowns, with CSV export. Billing runs through Stripe Checkout and the customer portal, with Free, Starter and Pro plans and a 14-day Pro trial. Users can export or delete their data, and a cookie consent banner covers privacy compliance.
